Creating a Folder and Deed for signing

Summary

  1. Create a deed and folder (first if you don't have one)

  2. Add and arrange guests (participants)

  3. Upload your documents and add signature points

  4. Guests receive email invitations

Prerequisites

Before creating a deed, make sure you have:

  • An active Gayadeed account

  • Sufficient DeedCredits (check your balance in Manage Group)

  • A PDF document ready to upload

Step 1: Create a Folder and Deed

Deeds must be organized within dossiers (folders). If you don't have a dossier yet, create one first:

Step 2: Add and arrange guests

Add New Guests

Guests you are inviting to sign the deed who have not been previously invited to your organisation will be invited.

If you have repeated guests, add them to new deeds here:

Arrange Signature Orders

Email notifications are sent to guests only if it is their turn to sign. You can drag their cards to change the signing order.

Then we can create the deed.

Step 3: Upload your documents

You can upload multiple documents per deed.

Add signature points

Add the correct signature position to the documents for the relevant guest to sign.

After adding all the signature points, click on generate.

Add documents without signature points

Some documents may not require signatures but are just for reference. You can upload these as well.

Step 4:

  1. Review all the deed information

  2. Confirm that all guests and signature points are correct

  3. Click Start to start the signature process

After creation

Once the deed is created:

  1. The deed status will be Working

  2. Each signatory receives an email invitation with a link to sign

  3. Guests register (if new) and complete identity verification

  4. Guests sign the document at their convenience

  5. When all signatures are collected, the deed status changes to Closed

  6. You can download the signed document from the deed page

Status
Description

Open

The deed has been created and is awaiting signatures

Closed

All signatures collected - deed is complete

Cancelled

The deed has been cancelled

You can view the status of each deed in your Dashboard and on the Dossier page.
